The Federation is served by a Secretariat based in Geneva, with regional and country offices throughout the world. The Secretariat is led by the IFRC Secretary General and provides the central capacity of the International Federation to serve, connect, and represent National Societies. The Secretariat’s focus includes providing support to the IFRC governance mechanisms; setting norms and standards; providing guidance; ensuring consistency; coordination and accountability for performance; knowledge sharing; promoting collaboration within and respect for the RCRC Movement; and expanding engagement with partners. The Secretariat’s headquarters is organized in three main business groups: (i) Partnerships, including Movement and Membership; (ii) Programs and Operations; and (iii) Management. The Secretariat has five regional office, as follows: Americas (Panama City); Africa (Nairobi); Asia/Pacific (Kuala Lumpur); Europe (Budapest); Middle East and North Africa (Beirut).

Purpose

The incumbent will provide administrative support to the Regional Logistics Unit of the International Federation of Red Cross and Red Crescent Societies, Nairobi office.

Duties applicable to all staff

  1. Actively work towards the achievement of the Federation's goals.

  2. Abide by and work in accordance with the Red Cross Red Crescent principles.

  3. Perform any other work related duties and responsibilities that may be assigned by the line manager.

Key responsibilities and duties

  1. Assist in developing tracking tools for procurement activities.

  2. Support with the maintaining of warehouse records of IFRC pre-positioned Non Food Items across the IFRC Africa offices

  3. Establish and maintain a good professional working relationships with internal and external actors requesting information regarding logistics.

  4. Assisting in filing of documents, photocopying, delivery of mail and faxes, checking incoming mail and updating address and contact lists.

  5. Assist with organising courier services.

  6. Perform other duties as may be assigned by the supervisor.

Required Qualifications

Education

· Bachelor’s Degree in Supply Chain Management or related course.

· KCSE Certificate required

Experience

· Industrial attachment in a supply chain department is an added advantage.

· Driving qualification with a valid driving license is an added advantage.

Skills & Knowledge

· Practical Knowledge of computers (Windows, spread sheets, word processing, e-mail)

· Organisational capabilities and communication skills strongly required.

Languages

English and Swahili

French Knowledge is an added advantage

· GOOD DEGREE OF INTEGRITY, DISCRETION AND PERSONAL CONDUCT

· Flexible and adaptable to changing working conditions

· Self-motivated, with good judgement and initiative

· Good interpersonal and written communication

· Ability to prioritise, meet deadlines and work under pressure
