Organizational context:

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world's largest humanitarian organization with 190 National Societies. It is guided by its Strategy 2020, which expresses our collective vision and our determination to move forward in the fight against the main challenges facing humanity in the current decade.

The Secretariat of the International Federation of Red Cross and Red Crescent Societies (IFRC) is organized into business groups: five regional offices, one of which is Americas. The Americas Regional Office supports National Societies in the Americas to raise humanitarian and development standards, helping them remain relevant within their country and sustainable and accountable for their actions, guided by the implementation of Strategy 2020.

The finance unit of the Colombia Office provides quality financial services, ensuring proper implementation of internal controls, procedures and financial or administrative processes. This unit is also responsible for providing technical advice on the implementation of programs, operations and the provision of services to National Societies.

Purpose of the position:

The intern will provide intellectual and operational support in the area of ​​finance and administration in order to carry out activities, processes and operational management, and also the proper monitoring of the area's own operations and everything that can be generated from it.

The support will be focused on the management and processing of primary and secondary information for proper decision-making and prioritization of activities, as well as the evaluation of documents and the proposal of key messages that collaborate in achieving the objectives of the area of ​​finance and management.

Tasks and responsibilities:

  • Work actively in achieving the goals of the area of ​​finance and administration.
  • Comply with and work in accordance with the principles of the Red Cross and Red Crescent.
  • Perform any other work and job-related responsibilities that may be assigned by the finance officer.

  • Keep the administrative file system updated in accordance with the procedures.

  • Responsible for the correct use of daily administrative formats, and registration of incoming and outgoing correspondence.

  • Ensure adequate maintenance control of office equipment (maintenance of air conditioning, photocopier, alarm systems, etc.).

  • Adequate maintenance of the storage areas for filing and registration (including the destruction of old files) of the Administration Unit.

  • Support the Administration Unit as requested.

  • Ensure that tasks are performed in accordance with the rules, procedures, policies and processes of the Federation.

  • Verify that accounting supporting documents are complete for each transaction.

  • Support the Finance Coordinator in the review of financial reports, expense reports of national societies.

  • Provide support and advice to office members on financial and administrative procedures

  • Provide assistance to staff in order to obtain the documentation included in the accounting file system and follow up so that they are returned to the file.

  • Provide assistance in collecting documentation for audit purposes.

  • Support events/workshops with per diem payments or reimbursements to participants.

Education:
Undergraduate student of careers related to Finance and administration.

Knowledge and skills:

  • Knowledge and understanding of the area of ​​finance and administration.
  • Ability to work and process large databases.
  • Capacity analysis and judgment for the fulfillment of tasks using divergent thinking.
  • Verbal and written communication skills.
  • Knowledge of the humanitarian context.
  • Ability to work in a team in multicultural and multidisciplinary environments.
  • Fluent spoken and written English
